Asta Archive Manager is the new archiving factor that is fully integrated with Asta Teamplan Version 10*. With a simple interface and wizards taking you step-by-step through the archiving process, maintaining administrative housekeeping is easy.
Archiving those completed or cancelled projects can dramatically reduce the level of data being processed on a daily basis.
The more data your live database holds, the more it has to search through and render, which is unavoidable if you have a large number of projects to manage. Having fewer active projects in your live database enables:
- A faster more responsive system
- Reduced clutter with your dashboard only showing ‘active’ projects
- Easier navigation enabling you to find and focus on ‘active’ projects
- Prevention of editing completed projects that have a similar name or structure to other ‘live’ projects
There are other business benefits to archiving, such as maintaining records management and data management, ensuring regulatory compliance and providing litigation support.
Any archived projects are restricted to read / print only creating a level of security over your archives. Should you need to edit an archived project then you can easily restore it back into your live portfolio, with the data restored back to its original project plan.
Asta Archive Manager is installed and operated on a user’s machine, making archiving and restoring of projects easily manageable. Plus, the administrator can assign permission through user rights, maintaining security and control over your data management.
Further features of Asta Archive Manager are:
- Once you have created an archive, you can add to it in the future by archiving more data / projects into it.
- You can create as many archives as you want. You may want to create one archive for all your project or you may want to create a separate archive for each project.
- You archive data from your portfolio by selecting the branch(es) of the project hierarchy that you want to archive. If you choose to archive a project, chart or summary task from within your project hierarchy, all of the information that’s contained in the selected item is archived automatically.
- If you have baselined your projects and you choose to archive information from the live portfolio, the corresponding data in the appropriate baseline is archived as well automatically.
- Archived items appear in the project view in Asta Teamplan, enabling you to identify where data has been archived from a portfolio. If you don’t want archived items to appear in the project view, you can choose not to display them.
